Who we are

Phase Surveys is a trading name of Phase Projects Ltd, registered in Scotland, company no. SC657375, registered office 88 Morningside Avenue, Aberdeen AB10 7LT. Phase Projects Ltd is responsible for (the "controller" of) the personal information you send us through this website.

What we collect

When you use the quote form we receive what you type into it: your name, email address, phone number (if given), site postcode or what3words address, the type of survey, any add-ons you choose (virtual tour or visualisation), drawing scale or tolerance, deadline, and your description of the job.

Please don't include sensitive personal information (for example health details) in the form.

Why we use it

Only to reply to your enquiry, ask any questions we need to scope the job, and send you a quote. We use it because you have asked us to (steps before a possible contract) and because we have a legitimate interest in answering enquiries about our work.

We won't add you to a mailing list or send you marketing, and we don't sell your information.

Who handles it

  • Our survey team, who read and answer enquiries.
  • Formspree, Inc., the form service that receives the form and forwards it to us by email. Formspree processes the form in the United States and says it only transfers personal information where the law allows and takes steps to keep it appropriately protected (Formspree's privacy policy).
  • Matterport, Inc., only if you press "Load 3D tour" on one of the example tours. The tour then loads from Matterport's servers in the United States, which receive technical details such as your IP address and browser, and may set cookies of their own (Matterport's privacy policy). Nothing loads from Matterport until you press the button.
  • Our email provider, Microsoft 365, which stores the email in our inbox.
  • Our website host, Cloudflare, Inc. (Cloudflare Pages), which may briefly keep technical logs, such as IP addresses, to keep the site secure. Cloudflare is based in the United States.

How long we keep it

Formspree keeps a copy of each form for 30 days on the plan we use. We keep enquiries in our inbox for 2 years, then delete them. If you become a client, we keep project records as long as we need them for the work and our legal obligations.

Cookies and tracking

This website doesn't use cookies, analytics or advertising trackers. Its fonts and images are served from this site, not from third parties.

Your rights

You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, or stop or limit how we use it. Contact info@phasesurveys.com. We'll reply within one month.

If you're unhappy with how we've handled your information, you can complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, or phone 0303 123 1113. We'd appreciate the chance to put things right first.

If we change this notice we'll update this page and the date at the top.
